Russia Develops AI Capable of Extracting All Data from Scanned Documents

The Russian company Smart Engines has developed a new artificial intelligence system capable of fully automating the process of extracting information from various HR-related documents, including handwritten and printed formats. The technology is designed to integrate with electronic HR document management systems (E-HR DMS) and aims to eliminate bureaucratic barriers in employment procedures.

Automating HR Document Processing

Traditionally, manually entering a single candidate’s information into an E-HR DMS can take up to an hour of an HR specialist’s time. In cases of mass hiring — for example, in construction, retail, or logistics — manual data entry creates serious bottlenecks and inefficiencies.

The new AI agent developed by Smart Engines supports over 3,000 types of documents and around 5,000 unique templates, including:

  • Russian Federation passports (even handwritten ones),

  • employment record books,

  • SNILS, INN,

  • diplomas and certificates,

  • income statements, medical reports,

  • military IDs, welder’s certificates, tractor driver licenses, and other rare forms.

Advanced Recognition Capabilities

The system accurately processes both printed and handwritten texts, including documents that are folded, curved, or captured at an angle.

Moreover, the AI agent can recognize documents from foreign workers, including those from CIS countries, China, India, Pakistan, and other regions. This makes it especially useful in industries with high hiring volumes, such as construction, retail, and logistics.

For HR specialists, it's as simple as taking a photo of the applicant’s documents using a smartphone — the system automatically extracts all the necessary data without errors, delays, or paperwork.

Boosting Efficiency and Reducing Costs

Compared to a human, the AI agent is significantly faster and more accurate in processing data. It eliminates the need for retyping documents, speeds up hiring procedures, and minimizes human error.
